Good records turn a billing dispute from a headache into a short phone call. You do not need a fancy system, just a habit.
What to save
- The statement
- The Explanation of Benefits
- The confirmation number or receipt for each payment
- Notes from phone calls: date, person and what was agreed
- Any letters about payment plans or financial assistance
A simple system
Create one folder per year, and inside it one folder per provider. Name files with the date and what they are. Keep paper copies in a labeled envelope if you prefer paper.
How long to keep them
Practices vary. Many people keep medical bills and proof of payment for at least a few years. If you use an HSA or FSA, keep receipts for as long as your administrator or tax adviser recommends.
When it helps
If a bill appears twice, a payment does not post or a bill goes to collections, your records are your evidence. See what to do if a payment fails and how to pay a medical bill online.
